Shortcode Builder

Adding Use-your-Drive has never been easier! Although it has an impressive number of options, even beginners will manage to implement the plugin to their wishes with our intuitive workflow

  1. Create a new Page/Post or edit an existing one.
  2. To open the Shortcode Builder, add a Classic Block to your content, and press the first Use-your-Drive button in the toolbar of the Classic Block.
  3. Adjust the shortcode in the Shortcode Builder via all the controls and options
  4. Press the "Insert Shortcode" button, to add an instance to your Page
  5. Publish or Update the page and you are finished!

When you are using a 3rd party Page Editor, adding a simple Text Component will in most cases give you access to the default MCE Editor with the plugin Shortcode Builder.
For performance reasons, keep the number of plugin instances less than 5. More instances can drop the loading performance of the page depending on your server.

Embed Documents

To embed to your documents, follow these steps:

  1. Create a new Page/Post or edit an existing one.
  2. Press the last Use-your-Drive button in the toolbar of the Page Editor. If you are not seeing the button, make sure that you are in the 'VISUAL' mode of the Page editor.
  3. Navigate to the File which you want to embed
  4. Check the checkbox of the file and press "Embed Files"
  5. Publish or Update the page and you are finished!

If you set the sharing permissions of an embedded Google Doc to 'anyone with link can edit via the Google Drive Interface, your visitors will be able to edit the Document via your site!

Advanced Features

Private Folders

Private Folders Front-End

You can easily and securely share documents via Google Drive with your clients with the Private Folders feature. This feature allows your clients to preview, download and upload documents to their own private folder.

There are two ways you can use the 'Private Folders' feature: Manually and Automatically

In the Manual mode, you will link your WordPress Users to their own folder on your Google Drive by hand. This is can be useful in cases when you are already using client folders on your Google Drive, or if you want multiple users to use the same client folder.

To use the Private Folders feature in this mode, follow these instructions:

  1. Go to Use-your-Drive -> Private Folders in the WordPress Admin Dashboard
  2. Link your users to their folder on your Google Drive via the Link to Private Folder button
  3. Go to the Page Editor and open the Use-your-Drive Shortcode Builder
  4. Go to Folders panel and enable the Use Private Folders setting in the Smart Client Area section
  5. In the same section set the Mode to I will link the users manually
  6. Configure any other settings you need and press the "Insert Shortcode" button
  7. Done!

In the Automatic mode, you let the plugin automatically manage the Private Folders. The plugin will automatically link a user to its own Private Folder and it will create the Private Folder if needed in the by you seleted top-level folder. The advantage of this method is that you don't have to manage the folders manually. In this mode you can even select a template folder to fill the Private Folder with some starting material when it is created.

To use the Private Folders feature in this mode, follow these instructions:

  1. Go to the Page Editor and open the Use-your-Drive Shortcode Builder
  2. Go to Folders panel and enable the Use Private Folders setting in the Smart Client Area section
  3. In the same section set the Mode to Let the plugin automatically manage the Private Folders for me
  4. Configure any other settings you need and press the "Insert Shortcode" button
  5. Done!

When you want to prefill newly created Private Folders, enable the Template Folder setting (Shortcode Builder -> Folders -> Smare Client Area).
You can control how the plugin is managing the Private Folders. Just take a look at the look at the Private Folders’ tab on the main plugin settings page (Use-your-Drive -> Settings).

Private Folders in Admin Dashboard

The Private Folders feature can also be used in the File Browsers in the WordPress Admin Dashboard. To enable this, go to the tab called 'Private Folders' on the main plugin settings page (Use-your-Drive -> Settings). The behavior of the File Browsers in the Admin section can be changed via the setting "Private Folders in Back-End".

Via the User Permissions tab in the Shortcode Builder, you can always select what kind of actions (e.g. upload or delete documents) are allowed by your client.

Team Drives

Google Team Drives are shared spaces where teams can easily store, search, and access their files anywhere, from any device. Unlike files in My Drive, files in Team Drive belong to the team instead of an individual. Even if members leave, the files stay exactly where they are so your team can continue to share information and get work done.

Use-your-Drive also has support for Team Drives. If you are using Google G Suite, you can enable Team Drive support in order to use it. To do so, follow these steps:

  1. Go to the main Use-your-Drive settings page
  2. Click on the Advanced tab
  3. Enable the Using Google G Suite setting
  4. Enable the setting Team Drives
  5. Save the changes via the button "Save settings" on top

Team Drives is available on G Suite Enterprise, G Suite Business, or G Suite for Education editions. If you can’t use Team Drives, contact your G Suite administrator.

Would you like to see some statistics about your files? Use-your-Drive can send all download/upload events to Google Analytics. To enable this feature, follow these steps:

  1. Go to the main Use-your-Drive settings page
  2. Click on the Statistics tab
  3. Enable the Google Analytics setting
  4. Save the changes via the button "Save settings" on top

If you enable this feature, please make sure you already added your Google Analytics web tracking code to your site. In most themes you will have a Custom Script box where you can add your Google Analytics code

All events in the plugin are registered in Google Analytics as 'Events'. So, in your Google Analytics Dashboard you will find this under 'Behavior' -> 'Events' -> 'Overview'
